  1. 1Why it matters

    Start with the purpose

Before moving student information into a new app, ask what instructional purpose it serves and whether the district has approved the service. A free account or a colleague's recommendation is not the same as district review. Use the minimum information required and the approved school account. If approval is unclear, ask the district's designated privacy or technology contact before uploading class lists or student work.

Use AI without exposing district information

Only use tools approved for the information involved. Do not paste student records, passwords, incident evidence or confidential procurement details into an unapproved service. Treat generated answers as drafts: verify facts, sources and instructions before using them. A plausible security command can still damage a system; have qualified staff review it and test it in an appropriate environment.

  2. 2Do this

    • Name the purpose

What will students learn, or what task will it support? Start with the purpose, not the features.

    • Check AI answers

Treat AI output as a draft: verify facts and sources before you use or share them.

    • NO / NOT SUREAsk before you upload

Use the district review route. Keep student records and passwords out of the tool until it is approved.

    • YES, APPROVEDUse it as approved

Sign in with your school account and share only the minimum the approved use needs.

    Keep it out
    • Student records
    • Rosters and grades
    • Passwords
    • Confidential files

Already uploaded data? Tell your district technology or privacy contact. They can check the tool and help limit any exposure.

  3. 3Quick check

A new free app requests the full class roster. What should happen first?
Can student records go into any AI tool if its response seems useful?

Choose an answer for each question.
